Privacy Policy

FluencyScreen helps hiring teams screen candidates' spoken English. This policy explains what we collect, why, how long we keep it, and who processes it on our behalf.
Who we are
FluencyScreen (“we”, “us”) provides voice-based English screening at fluencyscreen.com. For recruiter accounts we are the data controller; for candidate assessments we act as a processor on behalf of the hiring organization that created the exam link.
What we collect
- Account data — for the recruiter/admin who signs up: name, email address, and organization name.
- Candidate data — when a candidate opens an exam link they record spoken answers. We collect the audio recording, the transcript, and the assessment derived from them. Candidates do not create an account; we use only the name the recruiter assigned to the link.
- Usage data — basic technical logs needed to operate and secure the service.
Consent
Before recording begins, the candidate is shown a clear notice that their voice will be recorded and assessed, and must explicitly agree to continue. Candidates who do not consent should not proceed with the interview.
How we use it
- To run the interview and produce the CEFR assessment and per-skill scores.
- To let the hiring organization review results and replay recordings.
- To operate, secure, support, and bill for the service.
- To provide account onboarding, product guidance, and relevant plan or usage-limit notices. Optional promotional messages include a way to unsubscribe.
We do not sell personal data, and we do not use candidate recordings for advertising.
Where it's stored & how long
- Audio recordings are stored in Cloudflare R2; transcripts and assessments are stored in our application database.
- Candidate audio is automatically deleted after a retention window (by default 90 days). The transcript and assessment are retained so the hiring team keeps the result.
Service providers (subprocessors)
We share data only with the providers needed to run FluencyScreen:
- Anthropic — powers the AI interviewer and scoring (processes transcripts).
- Cloudflare — hosting and audio storage (R2).
- Resend — transactional email, account onboarding, product guidance, and email preference management.
- LemonSqueezy — subscription billing and payment processing.
Your rights
Candidates and account holders may request access to, correction of, or deletion of their personal data. Candidates should contact the organization that invited them; you can also reach us directly and we will route the request. We respond to verified requests within a reasonable period.
Security
Access to recordings and results is restricted to the candidate's hiring organization. We use industry-standard measures including encrypted transport and access controls. No method of transmission or storage is perfectly secure, but we work to protect your data.
